Role: Senior Client Accounts Officer

Reporting to: Manager

Employment Type: Full time (37.5 hours per week) Permanent

Summary of Role 

The candidate will report to [a manager] and be responsible for undertaking accounting and reporting services to a range of entities administered by the Group.  Principally the candidate will be responsible for undertaking fund accounting responsibilities for a listed infrastructure fund, to include bookkeeping, NAV preparation, management reporting and statutory financial statements under IFRS.

Client Service

  • Responsible for undertaking fund accounting responsibilities for a listed infrastructure fund, to include bookkeeping, NAV preparation, management reporting and statutory financial statements reporting under IFRS. This will require regular communication with the administration team.  client board, investment advisor and auditors.
  • Maintain a clear understanding of the client’s requirements and expectations; ensuring there is regular and open communication and escalate to the Manager / Senior Manager any concerns identified.
  • Ensure that client reports (all correspondence, accounts, etc) are produced to a high standard of accuracy, using approved templates, and distributed in accordance with agreed service levels.
  • Preparation of other statutory annual/interim/management financial statements within scheduled time frames and budgets. To be completed in accordance with appropriate accounting standards and agreed levels of service. This will include completion of full working papers file with summary schedules and backup to facilitate both technical accounting reviews and general administrative reviews. This may also require communication directly with client’s auditors and will usually have tight reporting deadlines.
  • Ensure that all items in the financial statements have been recorded correctly, reconciled to underlying statements and/or back-up and are reflected properly in the financial statements.
  • Check (as part of financial statements preparation process) the completeness and accuracy of the ledgers and client data held on Navision.
  • Review and correct accounting errors in client records and report deficiencies in accounting records to line manager so that appropriate feedback may be given to administration groups.
  • Manage work status, conflicting priorities, workload, utilising resources, as necessary to manage client / management expectations ensuring excellent client service, retaining full responsibility for own work including meeting deadlines where necessary.
  • Assist the team Manager in ensuring that appropriate cover for absences is in place, and that colleagues are fully briefed prior to any personal absence from the office. Demonstrate ability to provide cover in the absence of the manager.
  • Other projects as identified and carried out periodically. 

People

  • Where relevant assist with the mentoring, development and coaching of less experienced team members, providing feedback and having input to appraisals.
  • Where relevant support the manager with the delegation of work to less experienced staff whilst retaining responsibility, giving clear instructions, timeframes and providing feedback as required.
  • To provide training to new joiners and existing staff to include, technical training, practical work-based training along with systems training.
  • Encourage a ‘can do’ positive approach, giving constructive feedback and guidance and encouraging open communication within the team.
  • Actively partake in team meetings to promote team communication, and knowledge sharing.
  • Liaising with the administration team on queries, required information and appropriately addressing matters raised at the technical review stage. 

Revenue & Growth

  • Maintain on a daily basis accurate reports of time spent on time billing modules.
  • Ensure all time charged is reasonable and justified; guide and encourage other team members to do the same.
  • Meet centrally defined, chargeable time requirements and any other grade specific targets.

Risk & Compliance

  • Ensure knowledge of and compliance with Apex’s policies and procedures as amended from time to time.
  • Maintain a clear understanding of the risks involved in all business activities carried out with respect to the client base and escalate anything as per the Apex guidelines and policies.
  • Ensure a full audit trail is maintained and procedures are upheld. This involves maintaining appropriate files according to compliance with business standards and proper use of working paper and final accounts templates.
  • Maintain an awareness of legal responsibilities, accounting requirements and the need to report suspicious transactions to comply fully with relevant control and regulatory requirements.
  • Assist in the development of policies and procedures and the maintenance of these.
  • Maintain a tracker system for all client accounting requirements to ensure deadlines and expectations can be planned and delivered. Responsibility to monitor and maintain your individual accounts tracker and to utilise your report regularly and in a timely manner.
  • The candidate will have completed or be nearing completion of a professional qualification, typically, CIMA (Chartered Institute for Management Accountants); ACCA (Association for Chartered Certified Accountants); or ICAEW (Institute of Chartered Accountants in England and Wales).
  • Must have relevant historical and practical experience in a job at a similar level
  • Good exposure of and understanding of IFRS and UK GAAP is expected from the candidate.
  • Knowledge of the offshore financial services industry is essential.
