Job Specification:

  • Team leader responsible for the management and operational organisation of team responsible for fund and corporate secretarial and administrative services, including:
    • convening, attending and taking of minutes at board meetings and meetings of shareholders,
    • preparation of written board and shareholder resolutions for standard corporate and fund events
    • Making and keeping track of necessary corporate, regulatory and tax filings
  • Oversight and management of various additional secretarial tasks (arranging files, emails, preparing documents etc.)
  • Generally supporting the domiciliation function and responsibilities
  • Establishing, improving, and supporting the implementation of standard documentation, processes and procedures
  • Supervising and guiding other staff in the daily work and tasks to ensure timely and client delivery in line with quality standards
  • Minimum 5-years’ experience in corporate secretarial or legal position
  • Good knowledge of Luxembourg fund and corporate structures and excellent grasp of typical corporate events and governance requirements
  • Excellent communication skills and ability to guide team members and clients in good governance practices
  • Ability to lead by example and to coach and encourage team members
  • Prior management or leadership experience beneficial
  • Highly organised and flexible with the ability to handle confidential information with discretion
  • Ability to manage and coordinate several tasks in parallel
  • Ability to work autonomously while maintaining a professional relationship with the team
  • Familiarity with various IT software and messaging tools
  • Advanced MS Office knowledge (Word, Excel, Outlook)
  • Interest in financial and/or legal environment
  • Fluency in English is mandatory and fluency in German an advantage
