The Americas Finance team is expanding. The Finance team has oversight and responsibility for the maintenance of Apex’s accounting records, financial reporting, and treasury functions at a local office and group level. We are looking for candidates who possess a strong attention to detail, the ability to work and manage to recurring, tight timelines, while maintaining high service standards. Successful candidates are flexible, fast-thinking, collaborative, and team oriented but also able to work well on their own initiative.  We are looking for an Accounts Payable Manager who will take control of the Americas Accounts Payable function and play a key role in centralizing the Accounts Payable process across the Americas entities and build in the appropriate controls and procedures to ensure that all invoices have been received, properly approved, accurately recorded in the accounting GL on a timely basis, appropriately paid on a timely basis and an accurate and complete aged AP listing is produced on a regular basis.  Head office has recently implemented SAP Concur, an expense and invoice management system, along with Gatekeeper, a supplier management system, to work with Financial Force, our accounting system.  The Accounts Payable Manager will lead the hiring, training and support of the Accounts Payable team and ensure that the AP function operates smoothly, maintains accurate and complete records, and documents the new controls and procedures ensuring they are in line with the Apex expense policy and procedures. The Accounts Payable Manager will be the main point of contact for the Americas internally and externally in regards to all expense invoices and employee reimbursements.  The Accounts Payable Manager will be responsible for all entities in the Americas region and will report to the Americas Finance Controller.

Responsibilities

  • Oversight, control and build out of the Americas Accounts Payable function and team
  • Centralize the Accounts Payable process across the Americas entities
  • Develop and document appropriate controls and procedures for the new Accounts Payable function
  • Ensure that all invoices are received through a centralized repository, vendor statements are being reconciled on a periodic basis and expenses are being analyzed (completeness of expenses)
  • Ensure that all invoices have a PO and has been appropriately approved in the system
  • Ensure that all invoices have been accurately recorded in the accounting GL on a timely basis and at the latest by each monthly reporting period
  • Set up all bank wires (ACH transactions and other payment methods) for Treasury to approve and ensure that all invoices are paid on a timely basis to avoid any penalties and vendor agreements are monitored to take advantage of any discounts available
  • Generate appropriate periodic reports in order for the Accounts Payable team, the Finance team and management to effectively monitor outstanding invoices (eg. aged AP listing, etc.)
  • Investigate and resolve all internal and external issues related to vendor invoice repository, SAP Concur, Gatekeeper, Financial Force Accounts Payable, accruals and expenses, vendor invoice issues and discrepancies, purchase orders and approval issues, vendor payment issues, etc.
  • Perform other duties as required to support Accounting
  • Provide support in processing expense reports
  • Work directly with HR and Payroll on Benefits invoice payment processing and  Employees Expense Reports
  • Mid-Year and Year-End reporting for tax (eg. IRS Form 1099 issuance and report filing)
  • Assist with internal and external audit
  • Assist with ad-hoc requests as needed
  • Bachelor’s degree in Accounting, Finance, or related field with 4-5 years of Accounts Payable experience in a global environment
  • Working towards an accounting designation (CA/CPA or equivalent) is desirable
  • Comprehensive knowledge of Accounts Payable policies and procedures
  • Solid understanding of accounting principles and the ability to handle routine issues independently
  • Proficient with Excel, accounting systems and general IT
  • Prior SAP Concur, Gatekeeper and Financial Force experience desirable but not required
  • Strong problem-solving skills, analytical skills and attention to details. Should be able to identify and resolve problems in a timely manner, while gathering and analyzing information thoughtfully
  • Solid interpersonal skills, adaptable and resilient to different personalities
  • Proven ability to work under pressure and consistently meet month-end deadlines
  • Strong adaptability skills. Should be able to adapt to changes in the work environment, manage competing demands, and deal with frequent change, delays, or unexpected events
  • Ability to maintain confidentiality and safe guard sensitive, proprietary information
